Aftercare and listening clinic

Original workshop design for pilot use. This format has not been validated for effectiveness.

Summary and decision

Resolve friction in real work and make responses visible.

Decision: Assign immediate fixes, investigations and design changes.

Preparation

  • Bring anonymised issue themes, observations and unresolved questions.
  • Separate urgent operational issues for immediate handling outside the workshop.

Audience

6-12 employee representatives, FM, IT, manager and issue owners.

Exercises A and B

Exercise A: Experience and friction review

  1. Let each participant describe one work episode before proposing a fix.
  2. Separate provision failure, unclear agreement, capability gap and design mismatch.
  3. Check whose experience is absent from the discussion.

Exercise B: Response and verification

  1. Assign fix, investigate, redesign or explain with an accountable owner.
  2. Set a response date and a way to verify with users.
  3. Publish what changed and what remains open.

Worksheets

Worksheet A

Work episode and effect
Evidence and affected group
Likely cause and alternative
Urgency and owner

Worksheet B

Action and rationale
Owner and due date
User verification
Status and next communication

Illustrative example

Illustrative, not a real case

  • Illustrative: complaints about noise continue after a protocol reminder.
  • Observation finds a call-intensive team beside a focus zone.
  • The team tests a zoning adjustment and checks the result with users.

Completion criteria

  • Every priority issue has an owner and response date.
  • Closure requires user verification.
  • Repeated issues can trigger design review.

Follow-up

  • Run weekly during early aftercare, then reduce based on unresolved demand.
  • Send recurring patterns to W15 and assumption-recalibration.

Points of attention

  • Do not use a public session for personal complaints requiring confidential handling.
  • Low complaint volume alone does not prove success.

Workplace phase and change activities

Workplace: Recalibrate (phase in the Workplace method)

Change Management

  • Activate

Why this workshop helps: Resolves friction in real work soon after introduction and makes responses visible.

Adapting outside a workplace setting: Replace workplace examples with situations from your own change; the structure can stay.

  • Learn

Why this workshop helps: Sorts findings into quick fixes, investigations and design changes.

S04Determinant frameworkNot effectiveness evidence

Damschroder et al. (2022). The updated Consolidated Framework for Implementation Research

Why here: Informs the view that friction can come from several implementation determinants, such as provision, agreements, capability and design. The friction categories are our own design and are not CFIR. It does not validate this workshop.

Finding:
CFIR supports structured examination of context, barriers and facilitators, with attention to recipients and equity.
Limitation for workplace:
Use selected relevant constructs. The 7P lens is our organising synthesis, not the CFIR structure or a validated scale.

S05Research guidanceNot effectiveness evidence

Skivington et al. (2021). A new framework for developing and evaluating complex interventions

Why here: Informs the choice to record actions, owners and user verification so that adaptations after go-live stay traceable. It does not validate this workshop.

Finding:
Context, programme theory, stakeholder involvement, uncertainty and iterative refinement belong throughout intervention development.
Limitation for workplace:
Guidance from health research informs our design. It does not validate this workplace workshop sequence.
