Summary and decision

Help employees perform real tasks in the future workplace before broad use.

Decision: Confirm task capability and route unresolved provision or learning needs.

Preparation

  • Prepare a usable space or a labelled simulation, with booking and collaboration tools.
  • Bring approved protocols, access instructions and help contacts.

Audience

6-12 employees per session with FM, IT and a team manager.

Exercise A: Task rehearsal stations

  1. Demonstrate finding and booking a suitable setting, then let participants perform the task.
  2. Practise a hybrid meeting, a focus task and an end-of-day reset.
  3. Use teach-back to check understanding and record obstacles.

Exercise B: First-week support plan

  1. Walk through arrival, access, storage, technology, work and departure.
  2. Test exception routes such as no available space or failed access.
  3. Give each unresolved issue an owner, workaround and response time.

Illustrative, not a real case

  • Illustrative: everyone receives the booking guide, but two tasks fail in rehearsal.
  • One requires instruction, the other requires a permissions change.
  • Both are retested before the readiness decision.

Completion criteria

  • Participants demonstrate critical tasks.
  • Provision defects have owners and temporary arrangements.
  • Accessible help routes work in practice.

Follow-up

  • Feed rehearsal results into W13 before go-live.
  • Repeat onboarding for absent staff and new starters.

Points of attention

  • Attendance at training is not evidence of task capability.
  • Use a private route for personal adjustment needs.

Why here: Informs the focus on capability and opportunity: employees need both the skill and the working provision to perform a task. The rehearsal stations are our own design and do not apply COM-B as a validated procedure. It does not validate this workshop.

Finding:
COM-B organises behaviour diagnosis around capability, opportunity and motivation.
Limitation for workplace:
A framework for analysis does not establish which workplace intervention will succeed. Our worksheets are original adaptations.

Implementation of Activity-Based Workplaces: The Importance of Participation in Process Activities (2022)

Why here: Informs the attention to employee participation and a working response to raised issues. It does not show that onboarding sessions cause better outcomes, and it does not validate this workshop.

Finding:
A study followed participation in implementation activities during relocation at two Swedish government office sites.
Limitation for workplace:
An observational workplace study supports examining participation. It does not prove that more workshops cause better outcomes.
